These are starting points, not rules. Two 15-person offices can have very different needs — one with an open kitchen used constantly needs daily kitchen service; one where everyone brings lunch and eats at their desk doesn’t.

Frequency by task type

The biggest mistake we see in commercial cleaning contracts: applying one frequency across the whole office. Different tasks age at different speeds. Here’s what actually works:

Daily (even in a 3×/week account)

  • Restrooms: full clean, restock, floor mop
  • Breakroom / kitchen: counters, sink, appliance exteriors, trash out
  • Trash removal from all bins that saw daily use
  • Reception / entryway if client-facing

2–3× weekly

  • Workstation surfaces wiped
  • Meeting room resets
  • Kitchen appliance interiors and cabinet fronts
  • Floor vacuum (hard floors and low-traffic carpet)
  • High-touch surfaces disinfected (door handles, light switches, shared electronics)

Weekly

  • Full floor mop
  • Detailed dusting of shelves, tops of monitors, filing cabinets
  • Glass and interior windows
  • Complete restock of all supplies

Monthly

  • Baseboards fully wiped
  • Vents and ceiling fans dusted
  • Under-desk detail vacuum
  • Behind-furniture floor cleaning

Quarterly or semi-annually

  • Carpet extraction / deep-clean
  • Tile-and-grout treatment
  • Interior windows detail
  • Upholstery cleaning on chairs and lobby seating

Why frequency matters more than scope

Most small-business owners over-buy on scope and under-buy on frequency. A biweekly clean with a huge scope always loses to a weekly clean with a tight scope, because the maintenance interval matters more than the depth of any single visit.

Example: two 2,000-sqft OC offices, same $600/month budget.

  • Office A: Bi-weekly “full deep clean” — everything hit hard every 14 days. In between, buildup grows for 10+ days.
  • Office B: Weekly standard clean — tighter scope, but you’re never more than 7 days from a fresh clean.

Office B always feels cleaner. Same money. That’s the frequency lever at work.

Signs you’re under-cleaning

  • Restrooms need mid-day attention from your team
  • Kitchen sink or breakroom counter regularly has yesterday’s residue
  • Reception area doesn’t feel presentable to walk-in clients
  • Team members bring cleaning supplies to their desks
  • Sick days are notably higher during cold-and-flu season
  • Trash bins in shared areas overflow between visits

Signs you’re over-cleaning

  • Same cleaner arrives to a still-clean space every visit
  • You’re paying for daily and only a few zones actually need daily
  • Recurring quote feels disproportionate to what actually gets used

Over-cleaning wastes money. Under-cleaning erodes team culture, client perception, and eventually revenue. The right frequency is the one that hits both zero — no zone visibly under-serviced, no zone visibly over-serviced.
